Over the past 5 years it became more evident than ever before that companies need someone looking into the finer details when maybe there hasn't been enough time.
Bear with me while I tell you a story that might put this all into perspective. We knew a businesswoman of a small startup who opened a remote business with less than 10 clients at first. This is the only means she got by due to having had some setbacks throughout 2019 and this became her only source of income. In 2020 her business had increased to over 3000 clients, she hired more staff to assist and she ended up renting bigger offices later that year.
Due to circumstances the company was not paperless and after 2 years she found herself surrounded by office rooms cramped with filing, paperwork and little to no systems left to keep everything organized. There simply wasn't enough time to put new processes in place and within a few months the business started suffering, clients started leaving and she found herself surrounded by more and more work. Not only was she unable to cope but her remaining staff couldn't either. This resulted in staff leaving due to workload. The remaining staff were unhappy as their workload had now doubled, their morale was low due to clients leaving (which also meant less commission and no incentives) and ex-colleagues had moved onto what seemed to be greener pastures at the time.
You see, what once started as a small startup with merely a few clients turned into a successful company that required more staff very quickly, more work piled up more quickly and many things were overlooked and forgotten about in the process. She made the decision that she no longer had a choice but to transform the company and go paperless. Despite doing this and attempting to organize her offices and staff as much as possible to retain her existing clients, this still didn't seem to be enough.
Was it too little too late?
In her case, luckily not. The reality was that once she went paperless, she was surrounded by everything she needed to succeed, and she simply didn't know it, nor did she know how to utilize it to turn her business around. After getting in some help, we managed to identify over 1500 clients that had been overlooked as potential future clients that were referred to her over the years. More than 30% of her client base hadn't been contacted, thanked nor marketed to since they had bought from her initially in 2019. 15 of her existing suppliers were overcharging her, which if changed, could have resulted in a saving of over R 100 000 per month. Her staff underwent some simple yet confidential and compassionate sessions to identify their challenges and evaluate their current processes. We suggested some new processes that could be implemented and highlighted some key focus areas which had been overlooked in the workplace.
I will tell you the same thing I told her when I presented my findings to her... Whether or not she used, implemented or changed anything based on our findings was none of my business. I could temporarily come in to help her see her business in a new light, see processes through a different lense, bring her data to life, identify what was working and what wasn't and perhaps even save her some money in the long run, but I could not implement nor utilise the golden nuggets for her as only she could do that along with the support of her staff.
